2026 Vivid Sydney Case Study: Customer Service Workforce Solutions

Managing Visitor Movement and Customer Experience Across Vivid Sydney

Vivid Sydney is Australia’s largest festival of light, music, ideas and food, attracting millions of visitors across Sydney’s CBD and harbour precinct each year. During Vivid Sydney 2026, Transport for NSW implemented significant temporary transport changes to support increased patron movements across some of the city’s busiest locations.

McArthur was engaged to provide a dedicated Pink Shirt customer service and wayfinding workforce throughout the 23-day event period, helping customers navigate changes to bus services, light rail, road access and pedestrian routes while maintaining a positive visitor experience.

McArthur’s highly visible, customer-focused workforce supported visitors at critical transport hubs and pedestrian decision points across the event footprint. Key responsibilities included:

  • Customer service and visitor assistance
  • Wayfinding and directional support
  • Crowd movement assistance
  • Guidance through alternative transport routes and services
  • Monitoring customer and crowd conditions
  • Real-time issue and incident escalation

The Challenge: Supporting Major Transport Changes Across a Large Event Footprint

Vivid Sydney required customer movements to be supported across a 6.5km event footprint, while significant temporary changes were made across Sydney’s transport network.

Visitors needed to navigate bus relocations, light rail service adjustments, road closures and modified access arrangements across locations including Circular Quay, Martin Place, Town Hall, QVB, Hyde Park and Darling Harbour.

The challenge was not only to provide clear directions, but to position staff where customers were most likely to need assistance, support safe crowd movement and respond quickly as operational conditions changed throughout the event.

Our Solution: A Visible, Mobile and Connected Workforce

McArthur designed and delivered a dedicated Pink Shirt deployment model focused on visibility, mobility and real-time communication.

Our approach included:

  • Experienced Event Workforce: A core team of 16 trained customer service professionals and team leaders supported the activation.
  • Strategic Staff Positioning: Team members were deployed at high-demand customer decision points across Circular Quay, Martin Place, Town Hall, QVB/York Street, Hyde Park and the approaches to Darling Harbour.
  • Real-Time Communication: A live WhatsApp reporting channel connected supervisors, field staff and Transport for NSW stakeholders throughout the event.
  • Operational Reporting: Teams provided shift check-ins, crowd flow observations, incident reporting, customer sentiment updates and operational escalations in real time.
  • Strong On-Ground Leadership: Roaming supervisors and experienced team leaders supported rapid information sharing and flexible responses to changing conditions.

This model helped McArthur maintain consistent service delivery while building stronger location knowledge and improving operational effectiveness as the event progressed.

Results: Exceptional Customer Service and Real-Time Operational Support

McArthur’s Pink Shirt workforce delivered strong results throughout Vivid Sydney 2026:

  • 100% shift fulfilment
  • 5,770+ customer interactions
  • 620 deployment hours
  • 90 operational shifts
  • 832 real-time operational updates

Across the activation, the team supported visitors through complex transport and access changes, helped facilitate safe crowd movement and provided Transport for NSW with real-time operational visibility and reporting.

The deployment also demonstrated how experienced frontline teams, effective leadership and real-time communication can improve service efficiency and help deliver a positive customer experience during major events.
